Manager - Contract Administration
Job Description Responsible for providing day-to-day contract administration support to Business and Legal Affairs by timely and efficiently collecting, analyzing and tracking critical data, assembling data into meaningful reports, and administering the reports as well as the contractual obligations of all agreements: tracking options, preparing summaries, performing research, maintaining databases, approving payments, etc. Position reports to Director of Contract Administration.
Responsibilities Primary Duties
?Entering and tracking on a weekly basis all options in the database. Distribute reminder notices electronically to Creative Executives, Business Affairs and Legal Affairs. Request option fee/purchase payments and prepare letters for option payments and pick-ups.
?Maintaining the Acquisition Agreements database on a weekly basis and generating reports as needed.
?Maintaining the following on a weekly basis: the Development Report database and the BA/Legal Assignment Tracking Report database.
?Handling Minors Paperwork and maintenance of the database on a weekly basis, and issue monthly report.
?Reviewing of on-screen credits; compile comments; review final draft; and post to shared Legal drive in real time.
?Monthly tracking and reporting of artists engaged by signatory companies to Local 839 IATSE Cartoonist Union (as applicable for animation projects).
?Processing of Title Clearance Requests and maintenance of the database.
?Supervising and developing staff in a professional manner; provide constructive feedback and coaching (as applicable).
?Holding self, staff (as applicable) and team members to a level of excellence.
Secondary Duties
?Preparing above-the-line Deal Summaries for active projects.
?Obtaining, reviewing and disseminating paper Delivery Materials (e.g. credits, advertising restrictions, synopses, E&O insurance certificate, etc.) for acquisition/license agreements on a weekly basis.
?Maintaining the E-mail Distribution lists in Outlook and Legal drive.
?Performing the notarization of documents (as applicable).
?Tracking of Passed Projects in the Development and Tracking reports.
?Managing the following Requests:
Payment Authorization (reviewing contracts and confirming correct information for development payments and delivery/acceptance of materials for acquisitions on a weekly basis).
Photo/Likeness Approvals and updating the database on a weekly basis.
Quotes from third parties.
Legal Lines for printed material,
Copyright Notices for iTunes, Hulu, etc.
Basic Qualifications Minimum 5 years experience in the entertainment industry administering the contractual obligations in Business and Legal Affairs agreements (e.g., above-the-line talent contracts, acquisition/license agreements, distribution agreements, etc.), including tracking options, analyzing deal terms and database entry/reporting.
Preferred Qualifications Minimum 10 years experience in the entertainment industry administering the contractual obligations in Business and Legal Affairs agreements (e.g., above-the-line talent contracts, acquisition/license agreements, distribution agreements, etc.), including tracking options, analyzing deal terms and database entry/reporting.
Paralegal background
Experience tracking options
Experience analyzing contracts and summarizing deal terms
Familiarity with the television production process and terminology
Required Education Bachelors degree or equivalent work experience
